Contacting a Sponsor by Phone

It can be more effective to contact a potential sponsor through the phone, whether that be through the company’s general number or a specific contact. Often times, when cold-calling a company, we may not have the specific contact information and would need to go through customer service or reception, and then ask to be transferred to the specific department, likely Outreach, Marketing, or even Human Resources. Below is a general template on how to begin a conversation with a member of the potential sponsor.

Some notes and tips:

  • Typically, the person in contact will have already decided whether or not they are willing to sponsor/donate within the first few seconds.

 

Leaving a Voicemail

In the case you’re unable to reach the person, you may want to leave a voicemail and follow up a little while later if they have not called/emailed you back.

In general, these are the items that you should record in the voicemail:

  • Your name (Do not forget this)

  • Your Role

  • The Team name

  • What the team does

  • Why you are calling (you’re asking for a potential sponsorship or to set up a communications avenue)

  • Leave a phone number/email address

  • THANK THEM FOR THEIR TIME
