What is SI?
We are the team that helps outsource any materials, machining, finishing, etc. that can not be done at the University of Waterloo. We work along with the Business teams and Mechanical teams (i.e. Dynamics, Structures, and Interiors) to expand our network of companies willing to do in-kind sponsorships with us in trade for marketing.
Meetings are hosted every Tuesday 6:00PM (30 minutes long)
Types of Sponsorships
There are mainly two forms of support Midnight Sun searches for when outreaching other companies.
Supplier Interfacing aims for in-kind sponsorships only. The Sponsorship team aims for monetary.
✨ The Process
There’s essentially 8 steps in the SI Process

1 | Request/Form | This is when a technical DRI (the requestee) fills out the SI Request Form and shares all the information SI members need to successfully search for the correct sponsorships. | The initial interaction between the SI lead and the technical DRI. It is very important that almost all the details are sorted out in this first step. | 30 - 60 min. to fill out form with details. |
2 | Member Delegation | Depending on availability and skill, the SI lead will delegate the request to one or more SI members to be the DRI’s of the request. | Where SI members will first be shown the tasks. | The task will be given out on the evening of the following Tuesday that the form was submitted. |
3 | Research | This is where the SI DRI will research as many locations possible to contact. | Needs to be well documented in the SI Tracker for SI lead to monitor. | ~ 1 week |
4 | Contact/Outreach | SI DRI begins to contact their research companies through call and emails to inform companies what Midsun is about and what we wish to get out of the spoonsorship. | Sending things such as the sponsorship packagein the initial emails and drawings upon request. | ~ 1-2 weeks |
5 | Confirmation/Connections | Once the company confirms interest and are willing to fulfill the sponsorship. SI DRIs must add the Technical DRI to the loop (i.e. emails, calls, etc.) if that hasn’t been done already*. | *It is possible that technical questions were asked in step 4. In that case, the SI DRI should add the Techinical DRI to the situation to avoid miscommunications between the external cocmpany and the Technical DRI. | |
6 | Follow-Through | The company says yes and SI and Tech. have provided all the information needed. This is the phase where we wait for the company to complete their part of the sponsorship. In this phase, we keep communications open just in case something goes wrong and help with delivery logistics if needed. | In the end, the timeframe it takes for external companies to respond to our sponsorship request is unfortunately uncontrollable on SI side. (Besides maybe spamming them with emails but you should not annoy them) | 2-6 weeks (yupppp) |
7 | Quote | When we successfully receives the external company’s contributions to the car, the SI DRI will request a quote of the external company’s services so we can match their services to dollar value and provide them the sponsorship benefits that they deserve. | Request the quote if you know that we won’t be asking for more services within the next two months. If we ask for a quote after each, individual, service, it might be inconvienient for the sponsor. | |
8 | Sponsorship Benefits | Here SI DRI will hand the company over to Catherine Cai so she can roll out the sponsorship benefits. |
