How to Gain Onsite Access?

This section has been updated. Please read carefully if you have not yet completed the training components and have not sent your information for processing.

If you have any questions, please let Sheila Afros Catherine Cai know.

  1. Read the /wiki/spaces/MAN/pages/1631715329 and follow instructions within the plan. Please note the cleaning and area usage procedures, and attached documents on the page.

  2. Complete the LEARN course: “Return to Campus Safety during COVID-19” (SO 2036). You need to self-enroll in this course. This course is no longer required.

  3. Attend a Midnight Sun safety training and information session. Even if you have completed the past 2 items above previously, you still must attend a session to review the safety plan and onsite rules.

  4. Fill out the following Google Form: https://forms.gle/oQKLjuTbfzFbJJqy8. This will include having the following information as well:

    1. Full Name

    2. Student ID #

    3. Digital Signature (you can write this on a blank paper and take a picture, or create a digital signature). Please try to use a white/light background if possible.

  5. You will be contacted for next steps and/or we will let you know if your documents have been processed.

Done All the Training?

  1. Join #mech-onsite and/or #elec-onsite depending on which subteam you are on. General announcements will be sent to both.

  2. Make sure you have proper PPE (e.g. medical, cloth masks, etc.) to prepare for going onsite. **New starting Spring 2021: Please bring your own safety glasses/goggles or face shields. We have some extra in the bay but those must be cleaned after every use.

  3. Wait for instructions and tasks from leads and the onsite channels before signing up for a slot in the calendar to go onsite. (Look out for tasks, many are coming on the way!)

    Note: please don’t sign up for a slot in the calendar unless you have confirmed with your subteam leads or signed up for sessions.

Onsite Rules

  1. Follow all rules within the Safety Plan.

  2. If you ever feel unsafe, please let the onsite lead or Sheila Afros know.

  3. You are only allowed in the following areas of E5

    1. Midnight Sun Bay

    2. E5 2001

    3. SDC Common Area (Area right outside the Midnight Sun Bay)

    4. Washrooms

  4. You may only access the bay during the slots you signed up for. If you may wish to extend your slot, please check the calendar and make sure the slot isn’t full before adjusting your time.

How to Sign-up on the Shared Google Calendar

  1. Once you have confirmed a timeslot, working session, or just going in for work, please fill out a slot in the Onsite Calendar. To fill in a slot, select the time you will be in the bay, and add the following invite link into the “Add guests” section.

Mechanical Onsite-Specific Procedures

  1. To find out what tasks need help please find the onsite schedule https://docs.google.com/spreadsheets/d/1B-YKnudY1m3fJ3hiIAVrqpJzABKLc-6G3EGaBxLffVE/edit#gid=1939717000. Read the Instructions tab for how to sign up.

  2. Be sure to add to the Google Calendar when you are heading in.

  3. If you have tasks or projects directly assigned by a lead, please arrange with them what time you are heading into the bay and sign up during an open period in the calendar.

  4. Fill out the onsite tracker before and after going into the bay to track progress: Mech Onsite Spring 2021 (NEW SHEET TO BE LINKED)

If you have any questions, please let Sheila Afros or your leads know.

Electrical Onsite-Specific Procedures

  1. Every Wednesday, Electrical leads will announce if there will be a working session during the weekend and provide numbers of slots.

  2. Please sign up with the Electrical leads.

  3. For non-working session slots, please make sure to coordinate with the leads and sign up during an open period in the Google Calendar.
