Onboarding
Set up the Interiors Management sheet for project sign-ups(https://docs.google.com/spreadsheets/u/1/d/1i6l3PNQap0Zzu8DVe_Sul_l0NKnbtqPwISfoKntDE1o/edit#gid=1344773044)
Clearly indicate the section the new members should be filling out (differentiate their section from current members - one way to do this is to highlight the cells new members need to fill out)
As long as COVID is around and there are occupancy limits, you also want to know if they have the capacity to help out onsite (see safety training section for next steps if they are available)
Once this sheet has been filled out, let the leads know and talk with them about how you would assign the members to projects
Onboarding attendance → we currently don’t have a way of tracking this but I would suggest having a way to track who attends the onboarding sessions that all of mechanical attends, now that Interiors is added to the list
Onboarding project → when we do one, it is up to you to help divide new members into groups and remind members of deadlines
Rather than only reminding the members about the final deadline, you can come up with a plan with the leads to set ‘milestones’ and then remind members that they should have completed ‘step x’ by now kind of thing
Safety Training
Members who are interested in working on-site must complete the below before being allowed on campus. They must also be a student at the University of Waterloo to do so.
Have members take the LEARN course titled: Returning to Campus Safely During COVID-19 (SO2036)
To confirm that they’ve completed the course, have them send you a screenshot of the final page of safety training (believe it’s the one after you finish the quiz)
Have members attend a safety training session run by Catherine/Kristen and make sure they read through the most up-to-date version of hte safety report (https://drive.google.com/file/d/1RaLqqo0AOZ73C9vUMqvjxawi6bO3RWO7/view?usp=sharing )
Once they’re done reading, they should send the following information to @Kristen Shiozaki
Student ID number
PNG file of signature
Full name
Check-Ins
It is expected that members of each project provide an update during weekly check-ins
In W2021, we set up a single slide deck that would get updated each week
You should send reminders to all interiors members a day or 2 before the check-in to make sure everyone knows to fill out their slides
Budgeting
Interior’s budget of just under $2k will expire on June 30th BUT purchases need to be made before June 1st
This means the purchases have to be made AND the reimbursements have to be processed by the MidSun finance team AND the reimbursements have to be received by SSDC Finance
You can assume that at least 4 work days will be needed for the MidSun Finance team to process the reimbursements with the SSDC finance team

How to decide whether to make a purchase
To determine whether to purchase an item at the time, first priorities your purchases
consider if the material is required for a project that will start manufacturing in the coming term and if we have room in the Bay to store the items
We’ve used spreadsheets in the past for project members to list what purchases they need to make - note that each item will have tax and possibly shipping costs, depending on the supplier
Try to purchase from Canadian sources as often as possible since you may have to pay for import fees… also the exchange rate isn’t super nice for us
What if I can’t use the funding before it expires?
Consider speaking with the other mechanical teams - specifically aerobody
See if they would like to borrow Interiors' fundign in return for letting Interiors use theirs, as all of mech will share a budget after this funding expires (the one at the end of June)
