Managing the Transition from MS XIV to MS XV
Starting a new project is a big ask and as the Business lead, you’ll need to work very closely with each of the subteams.
Which teams should I work closely with in the Business team first?
You might think that maybe budgetting is most important first and foremost which will definitely be something you’ll have to closely monitor during this transition period. HOWEVER, this does not mean that the other teams need to wait for you and so you’ll be responsible for getting the other teams back on their feet and starting work because our team’s relations with anyone outside of the team (sponsors, followers, etc.) is reliant on our team. These are just as important to maintain during the transition period and maybe our current tasks aren’t appropriate. But we’ll need those teams to brainstorm tasks - there’s always work to be done.
Which teams outside of Business do I need to work with?
Pretty much everyone but for example, all Endowment Fund applications are done with any team that is actively purchasing. This means you’ll need to make sure the Business members handling the endowment fund applications are collaborating with the Mechanical teams (Dynamics, Aerobody, etc.), Electrical Teams (Hardware mostly and possibly solar) and Mech-Elec Integration (Battery Box).
Getting Started as a Business Lead
Task | Subtask(s) | When to work on this |
---|---|---|
Next Term Goal Planning | Determine team leads Determine goals for sponsorship/SI, finance, and marketing Determine which activities need to start when | 1-2 month(s) before the new term |
Master Budget | Review master budgets for previous vehicles (note: be careful of the MS XIV master budget since that one assumed we would obtain donations for most raw materials) Start by breaking it down by subteam and try to list major items + estimates as best you can before starting to work with the subteam leads on it (most won’t know budgeting since it may be their first time doing it) |
|
Endowment Fund Applications | Refer to Endowment Fund Applications for instructions on how to apply for Endowment Funds
| First or second month of the term We’ll need to determine if this will be passed on to Sponsorship to handle with the Business lead’s guidance or not. |
101 Session + Onboarding for each Business team | Create the Business 101 slides for the 101 sessions at the beginning of each term (refer to https://docs.google.com/presentation/d/1HUC6N2ul2tnfYocBh6M0_mnWm1ld-5RwQLjQ0QbVXKo/edit?usp=sharing to see what content to include in the slides) Make sure there’s a process/plan for each team’s onboarding - both for small and large numbers of new members Make sure there’s an assigned individual if the lead is not handling onboarding

Recruitment (Marketing task) | Refer to Lana’s documentation for the Student Success team: Recruitment Determine which subteams to prioritize for recruitment (i.e. which teams require more members) Note - MEF requires us to have at least 10% of our members from the math department, which includes Software Eng, Math, CS, etc. Outline how much effort to put into recruitment - are you doing a single post on social media to advertise first general and havng members share it or do you want to do teasers? Put together a message for the post and have it distributed to… | 1-2 month(s) before the next term |
